Stall holder selection is at the discretion of the event organiser.

Upon confirmation of your stall holder selection, you are required to send a copy of Certificate of Currency for their Public Liability Insurance to margot@eventproject.com.au. Also send high res images to support your application. Upon receipt of your EOI the event organiser will review your application and advise you in writing whether you have been successful or not within 30 days.

Once accepted we encourage stallholders to dress their stalls and display their products so that presentation is aesthetically pleasing. Our intention is to feature a hand-picked selection of stall holders, each displaying their wines, craft beers, ciders, spirit and liqueur range with complimentary local produce, gourmet food vending and international cuisines to encourage a successful and fruitful event.

This event is an outdoor event and will proceed in all weather conditions. The event organiser does not take any responsibility for loss or lack of income generated on the event day for any reason, including inclement weather. Stall holder fees are non-refundable. It is the intention of the event organiser that the event will go ahead under all conditions unless cancelled by the official landowner, the Police or Emergency Services due to adverse weather, unforeseen, terrorist or emergency circumstance. No refunds will be provided if event is cancelled.

Please note that successful applicants will be liable for any damage to property or person caused by any act or omission on the part of the applicant whilst on site. The stall holder unconditionally and irrevocably indemnifies the event organiser against any and all damages and losses to persons or property, and all costs and expenses which are incurred by or claimed from the event in relation to the stall holders conduct of the stall at the event.

The event organiser reserve the right to ask any party to leave or cease trading at the event where we deem activities to be offensive, dangerous, disruptive or non-compliant with the Development Application terms and conditions, Council’s Regulations and / or Health Authorities Regulations.

The stall holder fee includes the event/festival’s general audience waste management, security services, operations and production crew, advertising, venue hire and marketing. Stallholders are however asked to take home their own waste from their stall and dispose of it responsibly off site.

Stall holders are to provide their own brand signage for display in their stall and are encouraged to dress their stalls aesthetically to promote their products. Stall holders are to supply their own table clothes, signage and seating arrangements within their stalls. Wineries must display their own compliant RSA signage and have copies of their RSA’s with them in the event of a licensing inspection.

Stallholders will be permitted to bump in on site 3 hours before the event opens and subsequently bump out 30 minutes after the event ends, subject to general public safety. Vehicles are not permitted onsite unless preapproval by the event organiser is provided in writing. There will be a drop off zone allowing a 15minute drop off of goods. Parking is not provided.

The stallholders will be permitted to sell and promote the products they have noted in the final approved application form, only. The stall holder licences exclusively to the event organiser the right to use its Intellectual Property for any marketing, advertising or other business related use related to the event.

All stallholders MUST comply with the Council / local government / licensing requirements. Stall holders must comply with all State and Commonwealth laws and regulations applicable to the class of product being sold or services being provided

No handbills to be distributed outside of your stall area and no activities outside of the stall boundary, no balloons, no plastic bags, no pegs in the ground, no BYO power generators and no BYO structures unless preapproved by the event organiser in writing.

Allocation of stall position is at the discretion of the event organiser.

Power: if required, please specify – 10amp, 15amp or 20amp and how many outlets? A separate fee of $40 + GST per lead will apply according to your power requirements. All power leads need to be tagged + tested in accordance with AS3760.

The event organizer has developed an environmental sustainability policy and we encourage all participants to embrace its principals and directions.
